Employment Process

Several weeks before your start date, employment paperwork will be sent to you via email by Nico Lang. Return the paperwork as soon as possible via email, and she will process your appointment before your arrival.

The paperwork will be submitted to the Dean’s Office for approval then forwarded to the HR Payroll Service Center for processing. Once your appointment is processed, you will receive a Welcome email from MIT Humans Resources with your MIT ID number, position details, how to obtain MIT credentials, MIT Account Registration link (good for 72 hours) and I-9 process. When you receive this email from the Welcome Center (welcome-center@mit.edu), please create your Kerberos account right away as it will initiate additional onboarding processes. The time frame from when your paperwork is submitted to getting your Welcome Center email is approximately 5 to 7 business days.

After you have received your welcome email, you may get an MIT ID card at the Atlas Service Center, which is located in Bldg. E17 First Floor. ID Cards are used for building access, the MIT libraries, MIT Athena, MIT Parking, and for MIT food service. For further information call 617-253-3475.


Employment Eligibility (I-9 & E-Verify)

In accordance with the Department of Homeland Security, all employees paid by MIT are required to provide proof of eligibility to work in the United States on or before your first day of work. Employment verification is done at the Atlas Service Center, on the first floor of Building E17. For more information on the I-9 process, go to The I-9 Process at MIT.


Information for International Employees

VPF HR/Payroll and the International Student and Scholars Offices are consolidating MIT’s foreign national tax software platform to a single provider: Sprintax. VPF will migrate to Sprintax Tax Determination System (TDS) from Glacier Foreign National Tax Compliance on October 4, 2021. The International Students Office and International Scholars Office will be offering Sprintax Tax Filing as the MIT-supported tax filing software for the 2021 calendar year tax filing season.

Why is MIT making the change to Sprintax?

  • By offering one nonresident tax compliance and tax preparation software platform across MIT’s international offices and VPF HR/ Payroll, the MIT international community will have a more streamlined and improved user experience.
  • Sprintax provides one account for MIT international scholars and students to log into with the option to select electronic delivery of the 1042S tax form during the tax filing season.
  • The Sprintax software has an updated user interface and provides administrative flexibility to create MIT specific communications, as well as the ability to store and share documents electronically and securely.
  • A project to integrate data between MIT systems and Sprintax is planned for 2022 with the goal to automatically populate key data. The project’s aim is to reduce manual entry and reconciliation by HR/Payroll and to reduce the volume of data international scholars and students are required to enter during account set-up and maintenance.

VPF HR/Payroll will be setting up all new hire scholars and students in Sprintax TDS starting the week of October 4. During the months of October, November, and early December, VPF HR/Payroll will be contacting scholars and students with existing records in Glacier to ensure that their account information is completely updated in Sprintax.

VPF’s Tax Treaty Coordinator will continue to provide guidance to foreign national students, faculty, researchers, and staff, to determine their U.S. tax status, eligibility for tax treaties, and complete required tax forms. Video appointments are available on Tuesdays and Thursdays from 10:00 am to 4:30 pm and can be scheduled through the Atlas Service Center website: http://atlas.mit.edu.ezproxy.canberra.edu.au/atlascenter.

Things to Remember

Benefits enrollment must be done within 31 days of your start date. When enrolling a spouse or dependent(s) in health or dental plan coverage, you must provide appropriate documentation (e.g., a marriage license or birth certificate) to the Benefits Office. Please contact the Benefits Office with questions.

You can enroll for benefits, see paystubs, etc. on the Atlas Employee Self-Service Portal. You will need to have certificates on your computer when accessing personal data and benefits. For information and instructions on Certificates, please visit the Information and Technology (IS&T) site on Certificates.


Change of Status

Update any change in your personal information: marital status, citizenship, home or telephone number, MIT address, MIT extension, email, and other related information through Atlas under “About Me” tab. Please also update this information with Nico Lang.


Resignation

Please provide a letter to your immediate supervisor. Please also notify Nico Lang or Nico Lang with pertinent information regarding termination date and forwarding address.


Postdoctoral Position Postings

LNS posts all postdoctoral positions on Academic Jobs Online (AJO). If you would like to post a position, please download and fill out this job description form and email your request to postdoc-posting@mit.edu. Nico Lang will notify you with link information as soon as your position is posted. If this is your first time having a job posted on AJO, the system will send you a password and instructions on how to access your post. Once logged in on AJO, you will be able to:

  • Review applicants who apply
  • Set up interviews with applicants
  • Send notification to those who did not make the short list
  • All requested materials from applicants will be received through AJO portal

When you are ready to hire, you can inform Nico Lang or Nico Lang. A draft offer letter will be sent to you for review before it goes out to the candidate.

Request for Temporary Personnel through MITemps/nextSource

To be admitted to the U.S. as an employee of MIT, a foreign national must apply for one of the following types of visas:
J-1 Exchange Visitor
H-1B Temporary worker in a specialty occupation
B-1 Visitor for Business

(A person may come to the U.S. for up to six weeks. The individual may not be paid a salary, but can receive a per diem, reimbursement for travel expenses, or an honorarium.)


Visiting Student Procedures (international & domestic)

Keys Policy

LNS personnel may obtain keys for offices by completing an MIT Key Request Form online through Atlas. You will need to have Certificates on your computer in order to proceed. Step-by-Step Instructions.

Please be advised that:

  • Keys must be returned to your Admin. upon termination or transfer.
  • Administrative support staff may not request keys under alternative names and redistribute keys to the actual key holder.
  • Multiple keys to the same door will not be issued to an individual.

Vacation time taken should be reported in a timely manner. Please check with your PI on the reporting process for your group (e.g., weekly, monthly, as taken, etc.). Reference the HR web site for vacation accrual and usage.
